SUMMARY OF ASSIGNMENT

West Valley School District is seeking a collaborative and energetic individual to serve as a Human Resources Coordinator.  We are looking for an individual who will be recognized for showing personal character and acting with integrity.  The Human Resources Coordinator is responsible for promoting the smooth and efficient operation of Human Resources and provides confidential and technical support to District Administration while assisting in various phases of responsibility regarding state and federal requirements.

 

RESPONSIBILITIES

This list of essential job functions is not exhaustive and may be supplemented as necessary.

  • Provide District support related to the recruitment and hiring processes, including screening, interview preparations, and reference checks.
  • Maintain employee management system, including working with confidential employee data such as personal employee information, financial, and assignment data on employees that allows the district to use the data for record-keeping, reporting, payroll, budgeting, etc.
  • Coordinate new hire processing, including federal and state-required paperwork, fingerprint background checks processing, employment verifications, and entry of prior experience and credits for placement purposes.
  • Facilitate substitute and classified new employee onboarding and orientation.
  • Oversee substitute recruiting and hiring for the purpose of ensuring a sufficient substitute pool for District needs.
  • Administer the employee substitute management system for the purpose of efficient operation and filling vacant assignments.
  • Monitor certificated and classified employee attendance for planned absences and off-site activities (e.g. payroll reports, budget reports, etc.) for the purpose of ensuring classroom coverage and efficient processing of substitute employees, including long-term substitute assignments.
  • Maintain a variety of records (e.g. locations, dates, times of assignments, personnel information, etc.) for the purpose of ensuring the accuracy of substitute files and complying with district, federal, and state regulations.
  • Ongoing maintenance and processing of employee data throughout the year including years of experience, credit reporting, salary placement, assignment, etc.
  • Coordinate employee evaluation database, completion, and data for federal and state reporting purposes.
  • Maintain employee databases of new hires, provisional status, resignations, retirements, leaves, for purposes of preparing reports and data for federal and state reporting.
  • Collect data, prepare and respond to Washington State OSPI Educator Equity Data Collection and Civil Rights Data Collection Report.
  • Maintain employee, substitute, and Paraeducator handbook.
  • Understand, interpret, and communicate applicable collective bargaining agreements.
  • Monitor validity of staff credentials and/or licensing.
  • Prepare and process various district documents including correspondence, memos, reports, etc. to provide information to district and community
  • Maintain current knowledge of compliance with all Union agreements as well as individual contracts.
  • Provide support to other central office staff, including cross-training and leave support for Payroll and Accounting Specialists.
  • Collect, sort, distribute, or prepare mail, messages, or courier deliveries.
  • Professionally interact with students, staff, and the public.
  • Comply with all district policies and procedures
  • Perform related duties as assigned

 

QUALIFICATIONS

  • Minimum 3 years of experience in Human Resources, education setting preferred.
  • Bachelor’s degree required. Major in Human Resources, Business, related field preferred. HR experience in public education may be substituted for a degree.
  • Knowledge of proper English grammar, spelling, and usage in both oral and written communication.
  • Understanding of effective office operations, procedures, district account codes, district, state and federal policies and procedures.
  • Advanced computer experience, with knowledge of and/or willingness to train for the Skyward, SafeSchools, Frontline Absence Management, and TalentEd Recruit & Hire systems.
  • Knowledge of Human Resources procedures and terminology.
  • Exercise the highest level of confidentiality.
  • Ability to read and interpret specific rules and laws and apply them with good judgment in a variety of procedural situations.
  • Ability to work in an atmosphere where interruptions occur frequently and priorities are often modified using a high degree of flexibility.
  • High standards of professionalism and diplomacy in dealing with the public and district staff.
  • Ability to establish working relationships with district staff and to work cooperatively and independently with all employees, administrators, departments, and community.
  • Demonstrated ability to organize, set priorities, meet deadlines, make sound decisions, attend to detail, follow through on a variety of assigned tasks.

CONDITIONS OF EMPLOYMENT

  • Successful Washington State Patrol and Federal Bureau of Investigation Fingerprint Clearance.
  • Valid Washington State driver’s license or evidence of mobility.
  • Proof of Immunization (if born 1/1/57 or later).
  • I-9 Employment Eligibility in compliance with the Immigrations Reform and Control Act.
  • Completion of all district-required training within thirty (30) calendar days from hire date.
