POSITION  Substitute Secretary, District

 

REPORTS TO:  Building Principal/Program Director

 

WORK SCHEDULE: As required for the substitute positions 

 

SUMMARY OF ASSIGNMENT

Perform general secretarial and receptionist duties using established and defined methods, practices, and procedures.

 

 

RESPONSIBILITIES:

  •  Answer telephone, refer calls, take messages, and respond to inquiries in a consistently positive and friendly tone.
  • Greet and assist students, staff, parents, and visitors in the office.
  • Maintain and update databases and spreadsheets.
  • Work with online attendance program; notify parents by telephone when students are absent from school.
  • Open, review, and route mail.
  • Generate and distribute standardized reports and letters.
  • Copy district forms and distribute them as needed.
  • May maintain and monitor student immunization records.
  • Ability to handle first aid situations (cuts, bruises, broken bones, bleeding, etc.) in a calm manner.
  • Maintain a strict level of confidentiality.
  • Other duties as assigned

SKILLS:

  • High school diploma or equivalent.
  • One year of clerical experience or any combination of education and experience, which provides the applicant with the knowledge, skills, and abilities required to perform the job.
  • Must have the ability to communicate effectively both orally and in writing.
  • Ability to work with minimum supervision in a busy office with many interruptions.
  • Ability to use sound judgment in working with parents, students, staff, and community members.
  • Must be punctual and dependable.

 

MINIMUM QUALIFICATIONS:

  • High School diploma or equivalent (documentation required at time of application).
  • Successful Washington State Patrol and Federal Bureau of Investigation Fingerprint Clearance.
  • Valid Washington State driver’s license or evidence of mobility.
  • I-9 Employment Eligibility in compliance with the Immigration Reform and Control Act.
  • Completion of all district-required training.

TERMS OF EMPLOYMENT

All substitute positions are on an on-call, as-needed basis.

                Salary:  Substitute rate position will be Step 1 on the negotiated PSE salary schedule.

  • Three (3) letters of recommendation OR a combination of letters and confidential references, one must be from the most recent supervisor.

 

Verification of identity and United States work authorization must be completed before employment commences. The successful candidate for this position must complete a fingerprinted background check with the Washington State Patrol and the Federal Bureau of Investigation. Employment is contingent upon clearance of the background check.
